Transaction dates
Keep posting or transaction dates as shown in the recognized source. Dates retain their source format in individual exports; check ambiguous day and month order before using them in another system.
Turn statement pages into transaction rows you can inspect, edit, and export. CleanStmt supports bank statement extraction from native PDFs, scanned PDFs, JPGs, PNGs, and pasted screenshots in Single mode.
Keep dates, descriptions, amounts, and available balances together without rebuilding a spreadsheet by hand. Start with one document, compare the result with your statement, then download the format your bookkeeping workflow needs.

| Date | Description | Amount | Balance |
|---|---|---|---|
| 01/15/24 | Amazon.com | -$89.99 | $12,450 |
| 01/16/24 | Wire Transfer | +$5,000 | $17,450 |
Bank statement extraction turns information printed on a bank statement into structured fields and transaction records. Instead of copying a page as an image or pasting disconnected text, you get rows that connect a transaction date, description, money movement, and any available balance.
Useful bank statement extraction is more than OCR. OCR reads characters; extraction interprets their relationship within a financial table. CleanStmt presents data for review rather than recreating the PDF layout, helping you prepare working papers, investigate transactions, or organize accounting records.
Available fields depend on the recognized document. Bank statement extraction should preserve source information, not invent missing details or treat unclear numbers as established facts.
Keep posting or transaction dates as shown in the recognized source. Dates retain their source format in individual exports; check ambiguous day and month order before using them in another system.
Capture merchant names, payment narratives, and visible references. Long descriptions may wrap across lines in the PDF, so compare them with the original when a payment needs investigation.
Review withdrawals, deposits, fees, and refunds in the structure the statement provides. Check signs and separate debit or credit columns, particularly when money moves between your own accounts.
Include opening, closing, or running balances when recognized. These provide context for review, but their presence does not mean that every transaction has been independently reconciled.
Bank statement extraction can include available account details and statement periods in the report. Confirm that the account and period match the file you intended to process before sharing results.
Keep recognized statement summaries alongside the transaction table. Editing a row does not recalculate the original summary totals, so review any discrepancy explicitly rather than assuming the report has balanced itself.
This synthetic transaction table is not a customer statement or an accuracy benchmark. Columns depend on the source; check the original PDF when values are unclear.

Start with the upload tool above. Keep the original available: a readable result is a starting point for review, not proof of a complete extraction.
Upload a PDF, JPG, or PNG, or paste a screenshot in Single mode. For bank statement extraction across multiple files, choose Batch only when your PDFs contain selectable transaction text.
CleanStmt analyzes document content and returns recognized fields and tables. Clear pages, complete margins, and legible amounts give the system better evidence than cropped, blurred, or heavily compressed scans.
Compare important amounts and dates with the original. Double-click a transaction row to edit it. Available consistency checks help identify issues, but do not certify accuracy or replace your own review.
Finish bank statement extraction by downloading Excel, CSV, Word, or a supported accounting format. Choose the export that suits your next step, and verify destination requirements before importing transaction data.
Choose your mode by document type. PDFs can contain selectable text, scanned images, or both. Batch does not perform scanned-document OCR.
Single mode supports bank statement extraction from native or scanned PDFs and images. Recognition depends on image clarity and layout. Anonymous visitors can try 2 pages per day; registered free users receive 6 pages per day. Quotas count pages, not files, and the whole document must fit the remaining allowance.
Batch bank statement extraction handles up to 10 text-based PDFs together, with 100 pages total and a 20 MB limit per file. It requires paid access and enough page credits for the complete selection. Free daily pages do not unlock Batch. Process scans and screenshots individually in Single mode instead.
Use this checklist for bookkeeping preparation or transaction research. Review each account separately, especially when statements differ in currency, date convention, or layout.
Compare a few entries from the beginning, middle, and end of the statement. Check that wrapped descriptions belong to the correct transactions and that repeated page headings are not mistaken for payments.
Check debit and credit direction, decimal places, negative amounts, refunds, and fees. Bank statement extraction does not decide how a transaction should be categorized or whether a payment is deductible.
Compare recognized balances and totals with the original. Investigate missing pages or unexpected gaps before importing. Keep separate currencies and accounts identifiable; a combined table is not a consolidated account balance.
Choose a report for review or a compatible transaction format. Bank statement extraction does not connect to your bank or accounting software; check exports before importing.
Excel and CSV contain recognized header information, transactions, and summary sections. Excel amounts are numeric; CSV amounts can retain currency symbols. Prepare transaction-only columns when your import tool expects them instead of a full statement report.
Download one successful result, all successful Excel files in a ZIP, or one merged workbook. Its first sheet summarizes transactions from earliest to latest with Source PDF and Source Row columns. Individual PDF sheets follow; unrecognized dates go last and failed files are excluded.
After bank statement extraction, Word and supported accounting exports are available per result. Formats such as QIF or QBO require compatible transaction tables. Match the destination's date, account, and field requirements; file creation is not a guarantee that every import will be accepted.
Bank statement extraction produces editable financial fields and transaction tables. Their structure depends on the statement. Excel and CSV exports include statement context and summary blocks as well as transactions, rather than reproducing the original page design.
They overlap, but the focus differs. Extraction identifies financial records and their relationships; Excel conversion packages those records into a spreadsheet. Start with the extracted fields you need, then choose Excel, CSV, or another compatible output for your workflow.
Yes, in Single mode. Upload a scanned PDF or a supported image and review the OCR result against the source. Clear, upright pages work better than blurred or cropped images. Batch currently requires text-based PDFs and does not support scanned-file OCR.
Yes. Double-click a transaction row to review and edit recognized values before export. Recheck the original statement when correcting a number. Row edits do not automatically recalculate original summary totals, so any resulting difference needs your review.
Yes, with eligible paid Batch access. The merged workbook starts with a date-sorted transaction summary and source references, followed by one worksheet per successful PDF. Worksheet names follow PDF names with adjustments for Excel restrictions and duplicates. Keep different accounts and currencies identifiable when reviewing the summary.
Yes. Single-file processing has daily page allowances for anonymous and registered free users. A multi-page PDF uses multiple pages, and a file exceeding your remaining allowance is rejected rather than partially processed. Paid Batch requires separate eligibility and sufficient page credits; free registration alone does not enable it.
CleanStmt does not store uploaded source PDFs or images. Anonymous conversion results are not saved to cloud history. Usage and abuse-prevention records are separate. Cloud conversion history is available with an active subscription or a credit-pack purchase, not with free registration alone. Saved extraction results and basic file metadata are accessible for 7 days. After expiry, they are unavailable and deleted by automated cleanup. You can delete them sooner from Credit Usage in your dashboard. Original PDFs and images are not saved. Conversion sends document text or images to an AI provider. AI-provider retention and access depend on the provider's terms and service configuration; CleanStmt's history policy does not describe provider retention. See the Privacy Policy for details.
No. Structured rows and consistency checks support review, but do not certify completeness, authenticate the original document, or replace financial reconciliation. Compare the result with the original and your own records before using it for reporting or importing into an accounting system.
