CleanStmt is an online document conversion service for financial and business documents. This Privacy Policy explains what information we process, why we process it, how long we retain it, and how third-party services may be involved.

How Your Files Are Handled
Files are transmitted between your browser and CleanStmt over encrypted HTTPS/TLS connections. CleanStmt does not retain uploaded source files in permanent storage as part of normal processing.
- For text-based PDF documents, CleanStmt extracts the text on its servers and sends the extracted text to the AI processing service for structuring and conversion.
- For image uploads and scanned PDF pages, relevant image data is temporarily transmitted to the AI processing service because image analysis is required to read the document.
- CleanStmt does not use uploaded documents or extracted conversion data to train its own AI models.
- Temporary processing data is intended to be deleted within one hour after processing, regardless of whether you download the result.
Information We Collect
Depending on how you use CleanStmt, we may process the following categories of information:
- Account information: email address, account identifier, authentication information, and profile information provided through the sign-in process.
- Conversion information: structured conversion results, file name, file size, page count, conversion time, and related processing status for eligible signed-in users.
- Usage and quota information: page usage, credit activity, request identifiers, and records used to enforce quotas and prevent abuse.
- Billing information: payment status, order and subscription identifiers, billing records, and transaction metadata. Full payment card numbers are handled by the applicable payment processor and are not intentionally stored by CleanStmt.
- Technical and security information: IP-related identifiers, device or browser information, request timing, error logs, and signals used to protect the service and detect suspicious activity.

How We Use Information
- Provide, maintain, and improve the CleanStmt service.
- Process uploaded documents and return requested conversion results.
- Display eligible conversion history and manage deletion requests.
- Calculate quotas, apply credits, and prevent abuse or fraud.
- Process subscriptions, credit packages, and payment-related support requests.
- Diagnose errors, protect service security, and improve reliability.
- Respond to support, privacy, and legal requests.
- Comply with applicable legal obligations and enforce our Terms of Service.
Third-Party Services
We use third-party service providers to operate CleanStmt. Depending on the feature and configuration in use, these providers may include the following categories:
- AI processing: used to extract structured information from document text or image data. The provider receives only the data required for the selected processing path and is subject to its own terms and privacy practices.
- Authentication: used to create accounts and manage sign-in sessions.
- Database and cloud infrastructure: used to store account information, usage records, billing records, and eligible conversion history data.
- Payment processing: used to process subscriptions and credit package purchases. The applicable payment processor handles payment details in accordance with its own policies.
- Abuse prevention and security: used to enforce usage limits, detect suspicious activity, and protect the service.
- Analytics and advertising: used where enabled to understand site usage and display or measure advertising.
We do not sell uploaded financial document content. Third-party providers process information according to their own privacy policies, terms, and security practices.
Cookies and Similar Technologies
CleanStmt may use cookies or similar technologies for authentication, preferences, quota enforcement, abuse prevention, analytics, and advertising where enabled. You can control cookies through your browser settings, but disabling essential cookies may prevent account features from working correctly.
Advertising
We may display third-party advertising, including Google AdSense, where advertising is enabled. Advertising providers may use cookies or similar technologies to measure advertising performance or provide relevant ads. You can manage Google advertising preferences through Google's advertising settings.
Data Retention
- Uploaded source files are not intended to be retained in CleanStmt's permanent storage.
- Temporary processing data is intended to be deleted within one hour after processing.
- Signed-in conversion history is available for no more than seven days. After the retention cutoff, the record is excluded from history views and downloads, and a cleanup job deletes the complete record, including its structured result and related metadata.
- Users can delete individual saved conversion records from the history page. You may also request deletion of personal information by contacting [email protected].
- We may retain limited records when necessary for security, fraud prevention, payment disputes, legal compliance, or the establishment, exercise, or defense of legal claims.
International Processing
CleanStmt and its service providers may process information in countries other than the country where you live. Where required, we use appropriate safeguards for international data transfers.
Your Rights Under GDPR
If you are located in the European Economic Area or the United Kingdom, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal information, as well as a right to data portability. You may also lodge a complaint with a data protection authority.
Your Rights Under CCPA
If you are a California resident, you may have rights to know what personal information we collect, request deletion, and receive equal treatment when exercising applicable privacy rights. We do not sell personal information as defined by applicable law.
Children's Privacy
CleanStmt is intended for individuals who are at least eighteen (18) years old. We do not knowingly collect personal information from anyone under 18. If you believe that a person under 18 has provided personal information to CleanStmt, contact us at [email protected] and we will review the request and delete the information where appropriate.
Security
We use reasonable technical and organizational measures to protect information processed through CleanStmt, including encrypted connections, access controls, and service monitoring. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Changes to This Policy
We may update this Privacy Policy to reflect changes in the service or legal requirements. We will update the date shown at the top. For significant changes, we may provide additional notice through the service or by email where appropriate.
